Why a Project Management System is Essential to Save Time, Stress, and Space in Your Brain

“Your brain is for having ideas, not for holding them.”

This is one of my all time favorite quotes by author David Allen.

The feeling of having a ridiculous number of thoughts, ideas, lists etc. rolling around in that noggin' on repeat, is OVERWHELMING.
It also prevents us from being able to think clearly, brainstorm ideas, and work efficiently.

If you're feeling stressed, but don't use a planner or calendar, and you keep everything in your head...this is why.

I urge you to try this 1 thing, today, to see an immediate improvement to your mental well being and business management

In this blog, we're going to talk about why using a project management system can save you time, reduce your stress levels, better manage your life, your projects, and free up a lot of space in your brain

So you can spend your time focused on the things you actually want to be doing

Let's dive in.

Your Brain Is For Having Ideas, Not For Holding Them

Let me ask you a quick question: can you tell me everything you have to do tomorrow?

If you started rattling off a to-do list from memory, let me ask another question: how much brain power do you use trying to keep all of that in your head?

And the keyword here is “trying”.
You can only juggle so many pieces, inevitably things are going to fall through the cracks.

If you’re lucky, you’ll sit up in a panic right before you fall asleep because you just remembered the important thing you forgot to do earlier.

With a project management system, you don't have to worry about that anymore. You can brain dump all your projects, processes, and steps into one place, so you know exactly what needs to happen and when. No more stressing over forgotten tasks or missed deadlines - you can relax knowing everything is in one place and is not going anywhere.

Project management platform let's you keep track of all the "stuff" in ONE location.
No more post it's, random notebooks, and 100 google docs...

Your PM platform becomes Your home base for anything task related:

📝 To do's
⏰ Daily repetitive tasks⁣
📁 Client projects
and a big one...
🖥️ Team communication, projects, delegation

Basically if it's something that can "be done" - it should be in one place on your PM platform.

By putting all these things in one place, you can always find what you are looking for, set deadlines, share with others on your team, and work more efficiently.

Teamwork + Collaboration

Project management software can help you to improve communication by providing a central place for team members to collaborate and share information.

If you are trying to delegate tasks to your team without one central hub - it can be a nightmare if you're trying to keep track of multiple communication channels. Voice notes, emails, texts, and Slack messages can quickly become overwhelming.

But with a project management system, you can assign ownership and due dates, so everyone knows what they're responsible for, and all communication can remain in one space. It's easy to keep track of progress and avoid misunderstandings. This can help to reduce delays.

And even if you are not working with a team or have assistants yet behind the scenes of your business, starting to implement these systems NOW, will make it so much easier to bring in help when you're ready and know how the process works.

Automate, Rinse, Repeat

The third reason is automation. You can create templates that can be duplicated and customized at the click of a mouse. This saves you time and reduces the risk of errors. You can move tasks along without manually tracking them, and even give clients access to your projects, so they never have to wonder what you're working on. There are so many ways to automate your workflow with a project management system, and it's incredibly valuable.

This can free up your time so that you can focus on other important aspects of your business.

I personally am obsessed with Clickup - it has become a literal extension of my brain. Everything from Hey Rachael projects, to client work, to personal tasks and tracking.

Even home things like tasks, weekly chores, travel planning - it all lives within my Clickup Workspace.

And what's the most interesting things about this is the more you get used to brain dumping and keeping it OUT of your head, the more creative, freer, and relaxed you feel on a day to day basis.

And just because we use Clickup doesn't mean you have to - there are a lot of great tools out there that you can utilize. Some other great platforms include Asana, Notion, and Trello.

How to Choose the Right Platform

The biggest question that I get asked is how should you choose?

I get this question a lot as far as which software should I use and my honest answer is the one that you will use. Don't sign up for something just because somebody is reping this or telling you to sign up for that - which can cause you to ping pong from one platform to another.

The most important thing to note is, are you gonna use it?

That is the most important question because if you're not gonna use it, it doesn't matter what you choose or what you pay for, if it's the best of the best of the best, if you're not using it, what's the point?

Try one and see how it feels (and actually use it)
- the only way your new systems will work is if you use them...fully! Commit to trying it

I understand it can be so temping to by "Default" fall back into the way your things were set up before and just continue that way, because it's comfortable.

But it defeats the purpose.

Trust your new system and lean into using it to it's full capacity.

Stick with what you chose and give it time
And if you get stuck?
Don't forget...you can always ask for help.

So there you have it, three reasons why a project management system can save you time, reduce stress, and free up space in your brain. And honestly, the list goes on. If you're not using a project management system yet, I highly recommend it.
